Alternate Ways To Migrate QuickBooks Desktop To Online

Migrating QuickBooks Desktop To QBO

Step 1: Prepare Your Desktop File

Note: You have 60 days from creating your QuickBooks Online account to transfer your data. To check how old your company file is, sign in to QBO and refresh this page.

Important: Ensure QuickBooks is up-to-date.

Check File Size:

  • Your file should be under 750,000 targets for a successful transfer. Press Ctrl+1 to check the size. If it’s too large, you can either import lists and balances or start fresh.

Prepare for Transfer:

Print Your Sales Tax Liability Report to enter adjustments later:

  • Go to Reports.
  • Select Vendors & Payables.
  • Select Sales Tax Liability.
  • Set the date range to All.
  • Access the Print menu. 
  • Click Save as PDF. 
  • Click Save.
  • Save the file to your chosen folder.

For QuickBooks Desktop Payroll Users:

  • Terminate or deactivate any employees who are no longer with you and haven’t been paid this year.
  • Wait 2-3 days after running payroll before transferring your data to ensure all paycheck information is included. Move your data before your next payroll run.

Step 2: Transfer Your Files From Desktop To QBO

Access the Online Tool

  • Open the online tool. It can be accessed through the Intuit website.
  • Click Get Started, then sign in with your Intuit Account.

Upload Your Company File

  • Select "Select File."
  • Browse to the QuickBooks Desktop file you want to move. 
  • (Note: You can upload only one file at a time.)
  • Click Open to upload the file.
    • Alternatively, you can drag and drop your file to upload it.
  • Once uploaded, your file will be automatically updated to the latest QuickBooks Desktop version. You will then see an option to move to QuickBooks Online.
  • Once the transfer to QuickBooks Online is complete, adhere to the on-screen directions.

  • Link bank or credit card account to QB Online.

  • Track and pay your bills in QuickBooks Online.
